Faculty Guide to Different Equipment Rental Processes


The following information is to assist faculty and their students in understanding the different equipment rental processes and procedures for:

1. Standard individual student equipment loans/rentals
2. Long-duration individual student equipment loans/rentals
3. Faculty requesting equipment for classroom teaching use
4. Faculty requesting equipment for non-classroom use

  1. FAAD STUDENTS – STANDARD EQUIPMENT RENTAL/LOAN PROCESS FOR INDIVIDUAL STUDENTS
    We strongly encourage faculty to share the following information with their students.
      We request that the students are taught proper usage of the equipment before requesting to borrow equipment from the CER. Equipment room support staff are not permitted to “teach” in any capacity.


    • Students enrolled in eligible FAAD programs may visit the Central Equipment Room (CER, room C109-C111) during operating hours to request the rental of equipment associated with their program – this is called a day-of rental. Note, we call equipment loans, “rentals” – there is no charge to borrow equipment, as this is covered by program fees.
    • Students must present the CER rental technician with a valid onecard in order to request equipment.
    • The student renting the equipment (the Renter) must be present for the pick-up and return of the equipment. Students must remain in the CER during the check-in process.
    • Rental duration can be as long as 3 business days for most programs (stricter rules apply to BFTV – contact the CER for details).   2. FAAD FACULTY – FAAD INSTRUCTORS REQUESTING LONG-DURATION/SEMESTER-LONG RENTALS FOR INDIVIDUAL STUDENTS

    • The standard rental duration is 3 business days – long-duration rentals may be requested by instructors at the start of the semester.
    • Long-duration rentals require approval by the respective Program Coordinator or Associate Dean.
    • Currently, there is no on-line request form for this type of request – please see the above link for details.

  3. FAAD FACULTY – FAAD INSTRUCTORS REQUESTING EQUIPMENT FOR FOR CLASSROOM TEACHING USE ONLY

    • This online request form is exclusively for FAAD Faculty to request CER-managed equipment for teaching purposes during scheduled class time.
    • The CER requires several details before we can release equipment for classroom use. Completing this form provides all the required information we require and eliminates a lot of back-and-forth emails and guesswork.
    • You may request equipment for multiple class dates. However, different classes (different instructors or different course codes) must be submitted separately.

  4. FAAD INSTRUCTORS – EQUIPMENT RENTAL REQUEST PROCESS FOR CURRICULUM DEVELOPMENT AND SPECIAL PROJECTS (NOT FOR CLASSROOM USE)

    • FAAD employees requiring equipment for non-classroom use – e.g., teaching off campus, curriculum and program development, practice, etc. – must follow the Sheridan Employee Equipment Rental Request process outlined here, Faculty Equipment Requests for Non-classroom Use. This is mandatory.
