Late Return Strike Policy and Rental Extensions

All Sheridan equipment centres manage the distribution of thousand of pieces of equipment to FAAD programs. This equipment is used on a daily basis in classes by faculty, and for assigments and projects by eligible students.

It is imperative that the equipment on loan (the rental) be returned to the appropriate equipment room on time. Late returns of loaned equipment often directly affect its available for classes and other students. As a result, all Sheridan Equipment Centres cannot tolerate late returns without notification and justification.

INFORM US BEFORE YOUR RENTAL IS RETURNED LATE

If you think you are going to be late returning your equipment loan for any reason, please contact your program’s Equipment Centre as soon as possible to let them know.

The simplest way to communicate with your Equipment Centre is to reply to any of the autmated email notices and reminders you would have received to your Sheridan email account regarding the rental in question. You may also email or call your program’s Equipment Centre (please indcate your rental ID or student ID):

RENTAL EXTENSIONS

You may request a rental extension BEFORE THE LOAN IS DEEMED LATE. Some equipment may qualify for up to two consecutive 24-hour rental extensions if it is not required for an upcoming rental. ✲ See BFTV note below

  • 1st 24-hour extension request – Contact the appropriate equipment room before your rental is late, and ask for a 24-hour extension. An equipment room staff member will respond with confirmation of the extension or notify you if the equipment must be returned.
  • 2nd 24-hour extension request – Contact the appropriate equipment room before your rental is late, and ask for a second 24-hour extension. An equipment room staff member will respond with confirmation of the extension or notify you if the equipment must be returned.
  • You may not request more than 2 rental extensions. However, you may return the equipment in person and re-rent it at the same time if it is available.
EQUIPMENT LOAN STRIKES

Equipment loans that are returned late, without informing the appropriate equipment room prior to the rental return time, will incur a Loan Strike on the student’s (the person whose ID the equipment rental is assigned to) equipment room rental account.

  • 1 Day Late = 1ST STRIKE –  If your rental return is late by 1 day, your student rental account will incur a strike.
  • 2 Day Late = 2ND STRIKE –  If your rental return is late by 2 days, your student rental account will incur a 2nd strike.
  • 3 Days Late = 3RD STRIKE –  If your rental return is late by 3 days, your student rental account will incur a 3rd strike.
    • the student’s equipment rental account will be suspended
    • the student will no longer be able to rent from the equipment room, whether for practice, assignments or projects
    • the student will have to speak to their Program Coordindator or Associate Dean in order to have the strikes cleared in order to have rental privileges restored
  • To have strikes cleared: the Equipment Room Lead or Equipment Room Manager must receive email notification from the affected student’s Program Coordinator or Associate Dean that they have spoken to the student about why they have accumulated 3 strikes and they approve of the strikes being cleared. Only then will the student be able to rent once again.

✲ Note to BFTV Students
Due to the high demand of BFTV equipment for classes, assignments and projects, stricter policies apply to all BTFV equipment loans.

  • Loan strikes may also be applied to your rental account on a case-by-case basis if BFTV rental equipment is not returned due to loss, or if your rental return is incomplete. Always, ensure that all rental loans are complete when picking up and verified again before returning.
  • BFTV Day-of Rentals are for 24 hours only. Extensions are not permitted. Loan strikes will be applied to late returns of BFTV Day-of Rentals.

PLEASE BE AWARE, Equipment Loan Strikes are cumulative. If you are 1 day late returning equipment and have incurred a strike, and you are then 1 day late returing another rental, your student rental account will have accumulated 2 strikes.
